At MSOE, the procedure for hiring a student employee must follow a distinct process. The following underlying principles about student employment should be followed:
- All positions must be budgeted for prior to completing the Student Employment Request Form available on the workstudy forms page. (it is your responsibility to ensure you have room in your budget)
- While you must budget 100% of a student's earnings whether or not the student is a federal work-study recipient, it is more cost-effective for the institution to hire a federal work-study recipient.
Student Employment Request Form
If you wish to hire a student employee you must complete an Employment Request form available on the workstudy forms page. This form will collect the job description and the total number of students you wish to hire; vice presidential approval is required. A separate request form is required for each position you are hiring for and must be renewed each academic year and summer.
Interview Students
We will post the position to our online job listing and will e-mail all students who are eligible for Federal Work-Study about the open job. Students who are interested in your position will search the online job listing and will be instructed to download and complete an Employment Application available on the workstudy forms page. They will also be instructed to contact you to set up an interview. You will interview the applicant(s) and make the hiring decision.
Complete a Student Contract for all new and returning hires
Once you hire a student you must complete a Student Contract available on the workstudy forms page for each student you hire. After both you and the student have signed the form, the student will need to bring the contract to the Human Resource office in room CC428. In addition to submitting the completed contract, students who have not worked for the university will also be required to complete payroll forms. Both the contract and required payroll forms must be completed before the student can begin their employment.
Student Employment Termination
If a student leaves or is terminated from their student employment position it is your responsibility to notify the Human Resources office. Notification will suspend future time cards for the student as well as start the process of posting the position for a replacement.
