Job Description

Assists the WMSE Development Director in administration of membership, member services, member data administration and processing payment.  Works collaboratively with the development department on WMSE event and event planning and assists other WMSE staff as necessary.

Essential Duties and Responsibilities:

Member Services

  • Develop and administer annual member survey
  • Ensure the rapid delivery of membership gifts and thank-you letters
  • Assist Development Director with the administration of all membership mail
  • Supervises customer service calls, correspondence, and resolution of member concerns
  • Work collaboratively with WMSE staff to develop annual report
  • Process check, cash payments
  • Organizing mailing materials
  • Writing emails and letters
  • Research

Database Management

  • Administers data entry during WMSE membership drives including maintenance of items and source codes
  • Maintain quality control procedures for data entry
  • Supervise and monitor reporting, data entry accuracy, organization, and filing of all records
  • Monitors sustaining gifts and communicates with members regarding expired and/or bad credit cards
  • Create and update documentation of database processes

Events Management

  • Works with Development team on all events including:
    • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
    • Administration of event data and inputs data into WMSE member database
    • Organize and assist in event planning and preparation


  • Processing shipments and payments of store transactions      
  • Updating Square with current items with photos and price levels     
  • Conduct quarterly inventory and track inventory weekly

Preferred Skills: Proficient with MS Word, MS Excel, HTML, writing, proofreading
